JENIS-JENIS SURAT & CONTOH BUSINESS LETTER

Banyak surat yang sering kita temukan, tapi kita belajar beberapa jenis surat yang dikutip oleh zonasiswa.com. Surat dikelompokkan dengan beberapa kategori sebagai berikut menurut zonasiswa.com


A. Berdasarkan Wujud Surat
  1. Kartu Pos
  2. Kartu pos adalah surat terbuka yang terbuat dari kertas berukuran 10 x 15 cm. Lembaran kertas surat ini biasanya tebal, sehingga berbentuk kartu. Kegunaan surat ini untuk menyampaikan berita yang singkat. Akan tetapi, pesan yang tertulis dapat diketahui oleh orang lain yang bukan haknya sebab berada pada halaman terbuka. Jenis surat ini biasanya dijual di kantor pos.
  3. Warkat Pos
  4. Warkat pos adalah surat tertutup yang terbuat dari sehelai kertas. Surat seperti ini dapat dilipat menjadi amplop. Jadi, lembaran surat ini dapat dipakai sekaligus sebagai amplop. Kegunaan surat jenis ini adalah untuk menyampaikan berita yang agak panjang dalam sehelai kertas. Lembaran surat jenis ini biasanya dijual di kantor pos.
  5. Telegram
  6. Telegram adalah jenis surat yang berisikan pesan yang relatif singkat yang mana dikirim dengan bantuan pesawat telegram. Surat ini akan sampai ke tujuan dalam waktu yang singkat.
  7. Surat Bersampul
  8. Surat bersampul adalah surat yang dikirimkan kepada seseorang dengan menggunakan sampul surat. Surat jenis ini lah yang banyak kita gunakan dalam berkomunikasi. Kelebihan surat ini dibanding dengan jenis surat yang lain adalah lebih terjamin kerahasiaan isinya; lebih leluasa dalam menulis isi surat; lebih santun dalam surat menyurat.

B. Berdasarkan Pembuatan Surat
  1. Surat Pribadi
  2. Jenis surat ini ditulis atas nama pribadi seseorang serta berisi masalah pribadi penulis, baik yang ditujukan kepada teman, keluarga maupun instansi tertentu. Contoh surat ini adalah surat untuk keluarga, surat lamaran kerja, dan surat permohonan izin bangunan.
  3. Surat Resmi
  4. Surat resmi dibuat suatu instansi, organisasi atau lembaga perusahaan tertentu yang ditujukan kepada seseorang atau lembaga tertentu lainnya. Keberadaan instansi, lembaga, organisasi dan perusahaan tersebut disahkan secara hukum. Contoh surat resmi adalah surat dinas, surat niaga, dan surat sosial.

C. Berdasarkan Pesan Surat
  1. Surat Keluarga
  2. Surat keluarga adalah surat yang berisi masalah-masalah keluarga atau kekeluargaan. Contoh surat keluarga adalah surat untuk orang tua, saudara, dan teman.
  3. Surat Setengah Resmi
  4. Surat setengah resmi adalah surat yang dikirimkan oleh seseorang kepada instansi atau lembaga organisasi tertentu. Jenis surat ini misalnya surat lamaran kerja, permohonan IMB dan surat permohonan cuti.
  5. Surat Sosial
  6. Surat sosial adalah surat yang dibuat oleh lembaga sosial kepada seseorang, organisasi, atau instansi tertentu yang biasanya berisi berbagai masalah sosial. Misalnya, surat permintaan sumbangan dan edaran untuk kerja bakti.
  7. Surat Niaga
  8. Surat niaga adalah surat yang ditulis oleh suatu perusahaan perniagaan dengan pesan berniaga. Contoh jenis surat ini adalah surat penawaran harga, penagihan utang, lelang barang, atau pesanan barang.
  9. Surat Dinas
  10. Surat ini berisikan masalah kepemerintahan atau kedinasan dari suatu lembaga atau keorganisasian. Surat ini dapat ditujukan kepada instansi lain, perorangan dan organisasi tertentu. Misalnya, surat keputusan, surat perintah, dan surat tugas.
  11. Surat Pengantar
  12. Surat ini ditujukan kepada perorangan atau lembaga sebagai pengatur atau referensi seseorang untuk berhubungan dengan pihak penerima surat.

D. Berdasarkan Keamanan Pesan Surat
  1. Surat Sangat Rahasia
  2. Surat ini berisi pesan dokumen penting yang berkaitan dengan rahasia atau keamanan suatu negara. Jenis surat ini dikirim dengan menggunakan tiga buah sampul. Pada sampul pertama dituliskan kode SR yang merupakan singkatan dari "Sangat Rahasia". Pada sampul kedua dituliskan kode SRS, yaitu singkatan dari "Sangat Rahasia Sekali" serta dibubuhi segel atau lak untuk membuktikan keutuhan pesan surat. Pada sampul terakhir (luar) dibuat biasa agar tidak mengundang kecurigaan orang lain. Surat jenis ini, misalnya surat dari kementerian luar negeri, surat untuk negara-negara tetangga, dan surat dokumen kemiliteran.
  3. Surat Rahasia
  4. Jenis surat ini berisi dokumen ringan yang pesannya hanya pantas diketahui oleh satu atau beberapa pejabat tertentu atau yang berwenang pada sebuah instansi. Pengiriman surat ini menggunakan dua buah sampul. Sampul pertama dituliskan kode R atau RS yaitu singkatan dari "Rahasia" atau "Rahasia Sekali" serta disegel, sedangkan sampul kedua tidak diberi kode apa pun. Surat jenis ini misalnya surat tentang konduet pejabat dan surat dokumen suatu instansi.
  5. Surat Konfidensial
  6. Surat yang isinya haya layak diketahui oleh beberapa pejabat tertentu sebab pesannya memerlukan tindakan kebijaksanaan dari para pejabat tersebut. Misalnya surat hasil rapat pimpinan dan usulan kenaikan pangkat seseorang.
  7. Surat Biasa
  8. Surat biasa adalah surat yang pesannya dapat diketahui oleh orang lain tanpa mengakibatkan kerugian bagi pihak mana pun. Misalnya, surat edaran dan surat undangan.

E. Berdasarkan Ruang Lingkup Surat
  1. Memorandum/ Memo
  2. Memorandum adalah surat yang dibuat oleh atasan kepada bawahan atau kepada pejabat yang setingkat dengan pejabat pembuat memo. Memorandum ini hanya berisikan catatan singkat tentang pokok-pokok permasalahan sebagai pesan yang ingin dikomunikasikan.
  3. Nota
  4. Nota adalah surat yang dibuat oleh atasan kepada bawahan atau sebaliknya di dalam satu kantor untuk meminta data atau informasi.
  5. Surat Biasa
  6. Surat biasa adalah surat yang dikirimkan kepada orang lain, baik yang berada di dalam maupun di luar instansi yang bersangkutan.

F. Berdasarkan Jumlah Pembaca Surat
  1. Pengumuman
  2. Pengumuman adalah surat yang ditujukan kepada beberapa orang, instansi, atau pihak lain yang namanya terlalu banyak untuk disebutkan satu per satu. Pengumuman ini dapat digunakan dalam raung lingkup yang terbatas maupun dalam ruang lingkup yang lebih luas. Misalnya, pengumuman penerimaan pegawai dan kelulusan tes.
  3. Surat Edaran
  4. Surat edaran adalah surat yang dikirimkan kepada beberapa orang, baik di dalam maupun di luar kantor yang bersangkutan. Kadang-kadang, surat ini hanya berisi sesuatu yang hanya diketahui oleh para pejabat tertentu. Ada pula surat edaran yang dapat disebarkan ke raung lingkup yang lebih luas.
  5. Surat Biasa
  6. Surat biasa adalah surat yang khusus dikirimkan kepada seseorang yang namanya tertera pada alamat surat dan hanya untuk diketahui oleh orang yang dituju.

G. Berdasarkan Penyelesaian Surat
  1. Surat Kilat
  2. Surat kilat adalah surat yang pesannya harus dapat disampaikan kepada penerima surat secepat mungkin. Tanggapan yang diharapkan dari surat tersebut pun perlu dilakukan dengan cepat.
  3. Surat Segera
  4. Pesan dalam jenis surat ini perlu segera disampaikan kepada penerima surat, tetapi tidak harus dikerjakan atau ditanggapi dengan cepat seperti pada surat kilat.
  5. Surat Biasa
  6. Jenis surat ini baik cara pembuatan atau pengirimannya tidak harus diprioritaskan seperti kedua jenis surat di atas.

H. Berdasarkan Pengertian Umum
  1. Surat Terbuka
  2. Surat terbuka adalah surat yang ditujukan kepada pihak lain, biak perorangan maupun kelompok yang biasanya dimuat di media massa atau diedarkan secara terbuka.
  3. Surat Tertutup
  4. Surat tertutup adalah surat yang cara pengirimannya diberi sampul karena isinya tidak layak diketahui oleh pihak lain.
  5. Surat Kaleng
  6. Surat kaleng adalah surat yang pengirimannya tidak mencantumkan nama dan alamat pengirim secara jelas. Pengirim surat ini tidak bertanggung jawab terhadap isi surat. Akan tetapi untuk beberapa hal perlu juga diperhatikan oleh penerima surat pesan dalam surat itu.

Business letters

When writing an official business letter, it's important to keep your tone and language relatively formal. Note that ‘formal’ doesn't mean pompous or obscure: you should use words with which you are familiar yourself and which you can reasonably expect the letter's recipient to understand.
You should also avoid technical phrases or jargon, particularly abbreviations, unless you are certain that the person you are writing to will understand them.

The opening

  • Start your letter with the greeting Dear Mr (or Mrs, Ms, Miss, etc.) Surname.
  • If you don't know the name of the person you are writing to begin with Dear Sir or Dear Madam; if you don't know their name or sex, use Dear Sir or Madam.
  • If you know the person well or have a close working relationship with them, obviously it's perfectly appropriate to address them by their first name.

The content 

  • Setting the scene: begin with a heading alerting the reader to the subject of the letter, and in your first sentence draw their attention to the matter you're going to raise or discuss. For example, In reply to your question concerning … or Thank you for your letter of …, or I recently wrote to you about
  • The main purpose: introduce your main point as early as possible. The aim is to communicate your request, proposal, decision, etc. in a clear, concise way. Once you have done this, you may want to give more details, perhaps adding further background or relevant facts
  • Winding down: before the end of a business letter, it's usual to provide a brief summary of your expectations or of what you foresee as the possible outcomes. For example, I realize that you will be disappointed by this decision …, or I hope we can meet next week to discuss the issue …, or I look forward to hearing from you.

The close

The wording at the end of a business letter follows a standard format:
  • If you know the name of the person you're writing to, you should end the letter withYours sincerely.
  • If your letter begins with Dear Sir or Dear Madam, it should end with Yours faithfully.
  • Your own name should be typed out underneath your signature, together with your position (if you have one, and if it's relevant to your letter).

The 4-slot chassis delivers up to 1.92 Tbps of forwarding capacity in combination with the built-in fabric system.
The midplane design on the 9-slot, 10-slot, and 18-slot chassis and the backplane design on the 4-slot chassis support flexible technology upgrades as your needs change, providing ongoing investment protection.
Cisco Nexus 7000 4-Slot Switch Chassis
The Cisco Nexus 7000 4-Slot chassis with two I/O module slots supports up to 96 x 1 and 10 Gigabit Ethernet ports, 12 x 40 Gigabit Ethernet ports and 4 x 100 Gigabit Ethernet ports, meeting the needs of small to medium-size data centers, co-locations, access- and aggregation-layer deployments, high-speed core deployments, and smaller operation zones. The Cisco Nexus 7000 4-Slot chassis also has two dedicated supervisor slots to provide full redundancy and high availability. The 4-slot chassis does not require fabric modules. The local I/O module fabrics are connected back to back to form a two-stage crossbar that interconnects the I/O modules and the supervisor engines. The backplane capacity is determined by the installed I/O modules.
Side-to-rear airflow increases the system density in a seven-rack-unit (7RU) footprint, optimizing the use of rack space. The optimized density provides the capability to stack up to six 4-slot chassis in a 42RU rack.
The fan tray with built-in fan and controller redundancy helps ensure reliability of the system and support for hot swapping of fan trays. The fan tray is on the top side of the chassis and draws the air from the right side of the chassis through the line card and supervisor slots and propagates it through the empty space on the left side of the chassis. The air then flows up to the fan tray on the top side and finally flows out from the vent holes on the back side of the chassis.
Even though Nexus 7004 does not have fabric modules, fabric redundancy is still provided. If the local fabric on one of the I/O modules fails, the entire I/O module is taken offline.
All modules, including power supplies and the fan tray, are accessible from the front.
Cisco Nexus 7000 9-Slot Switch Chassis
The Cisco Nexus 7000 9-Slot chassis with up to seven I/O module slots supports up to 336 x 1 and 10 Gigabit Ethernet ports, 42 x 40 Gigabit Ethernet ports, and 14 x 100 Gigabit Ethernet ports, meeting the demands of mission-critical campus core and data center deployments. It has two dedicated supervisor slots to provide full redundancy.
Side-to-side airflow increases the system density in a 14RU footprint, optimizing the use of rack space. Theoptimized density provides the capability to stack up to three 9-slot chassis in a 42RU rack.
Independent variable-speed system and fabric fans provide efficient cooling capacity to the entire system. Fan-tray redundancy features help ensure reliability of the system and support for hot swapping of fan trays.
I/O modules, supervisor modules, and fabric modules are accessible from the front. Power supplies and fan trays are accessible from the back.
Cisco Nexus 7000 10-Slot Switch Chassis
The Cisco Nexus 7000 10-Slot chassis with up to eight I/O module slots supports up to 384 x 1 and 10 Gigabit Ethernet ports, 48 x 40 Gigabit Ethernet ports, and 16 x 100 Gigabit Ethernet ports, meeting the demands of large data center deployments. It has two dedicated supervisor slots to provide full redundancy.
Front-to-back airflow helps ensure that use of the Cisco Nexus 7000 10-Slot chassis addresses the requirement for hot-aisle and cold-aisle deployments without additional complexity.
The system uses dual system and fabric fan trays for cooling. Each fan tray is redundant and composed of independent variable-speed fans that automatically adjust to the ambient temperature, helping reduce power consumption in well-managed facilities while helping enable optimum operation of the switch. The system design increases cooling efficiency and provides redundancy capabilities, allowing hot swapping without affecting the system; if either a single fan or a complete fan tray fails, the system continues to operate without a significant degradation in cooling capacity.
The system supports an optional air filter to help ensure clean air flow through the system. The addition of the air filter satisfies Network Equipment Building Standards (NEBS) requirements.
I/O modules and supervisor modules are accessible from the front, and fabric modules, power supplies, and fan trays are accessible from the back.
Cisco Nexus 7000 18-Slot Switch Chassis
The Cisco Nexus 7000 18-Slot chassis with up to 16 I/O module slots supports up to 768 x 1 and 10 Gigabit Ethernet ports, 96 x 40 Gigabit Ethernet ports, and 32 x 100 Gigabit Ethernet ports, meeting the demands of the largest data center deployments. It has two dedicated supervisor slots to provide full redundancy.
Side-to-side airflow increases the system density in a 25RU footprint, optimizing the use of rack space. Theoptimized density provides more than 16RU of free space in a standard 42RU rack for cable management and patching systems.

Cisco Nexus 7000 Series Chassis Common Components
All Cisco Nexus 7000 Series chassis have the following components:
Integrated cable management system designed to support the cabling requirements of a fully configured system at either or both sides of the switch, allowing outstanding flexibility. All system components can easily be removed with the cabling in place, providing ease of maintenance tasks with little disruption.
A series of LEDs at the top of the chassis provide a clear summary of the status of the major system components, alerting operators to the need to conduct further investigation. These LEDs report the power supply, fan, fabric, supervisor, and I/O module status.
A purpose-built optional front-module door provides protection from accidental interference with both the cabling and modules installed in the system. The transparent front door allows easy observation of cabling and module indicators and status lights without any need to open the doors, reducing the likelihood of faults caused by human interference. The door supports a dual-opening capability for flexible operation and cable installation while fitted. The door can easily be completely removed for both initial cabling and day-to-day management of the system.
Energy-Efficient Design
The Cisco Nexus 7000 Series uses power supplies that are up to 90 percent efficient, so less power is wasted as heat, and more power is available for the system to use than with typical power supplies.
The fan modules in the chassis adjust to compensate for changing thermal characteristics. At lower speeds, they use less power. In the 9-slot chassis, the fan tray is designed to completely turn off the power for a row of fans when the corresponding slots are unused.
Consolidation of multiple switches in the Cisco Nexus 7000 Series is enabled by the powerful combination of high density and performance, support for device virtualization, and comprehensive reliability and availability features. This consolidation increases the power efficiency by reducing wasted power from multiple partially loaded and inflexible systems.
